The follow-up system that stops studios losing leads
Most photography studios do not lose enquiries to competitors. They lose them to silence. A bride's father calls on Tuesday, someone says "I'll send the package details", and then a shoot happens, two days pass, and the family has booked someone who simply replied faster.
After running a wedding studio for eight years, we found that the studios who win are rarely the cheapest or even the best portfolio — they are the most reliable at following up. Here is the system that fixed it for us.
1. Every enquiry gets written down — in one shared place
Not in the owner's phone, not in three different WhatsApp accounts. One list the whole team can see. The moment an enquiry lives only in someone's personal chat, it is a coin toss whether it survives the week. If that person is on a shoot, on leave, or leaves the studio, the enquiry leaves with them.
2. No lead is ever "waiting" — it always has a next action and a date
This is the core rule. "Sent the quotation" is not a status; it is a trap. The correct state is "Quote sent — call Thursday 12:00 if no reply." Every open enquiry must answer two questions: what happens next, and when. If it cannot, it is already dying.
3. Mornings start with a call list, not a scroll
Each salesperson (in most studios, that is the owner) should open one list every morning: who to contact today, in order. Not scroll through chats hoping to remember. A ten-minute call block at 11 AM, done daily, converts more weddings than any Instagram ad we ever ran.
4. Log the outcome in one tap, set the next step immediately
Called and no answer? Log it, retry tomorrow. Client wants to discuss with family? Log it, follow up Saturday. The log matters because wedding decisions take weeks — and in week three, "what did we last tell them?" must have an answer.
5. Every lost lead needs a reason
"Lost" is not a reason. Budget too high? Date already full? Chose a relative's studio? Went silent? When you force one reason per lost lead, patterns appear within a month — and patterns are fixable. We discovered we were losing December weddings simply because we replied slowly during November's shoot rush. That one insight paid for the whole system.
Doing this on paper vs doing it with software
You can run this system in a register or Excel — we did, for years. It works until wedding season, which is exactly when you need it most. The register does not remind anyone, does not know your dates, and does not merge the duplicate enquiry that came from Instagram and then again by phone.
This system is the reason we built Shootistan: every enquiry in one pipeline, a follow-up date required on every open lead, a daily call list on your phone, one-tap outcomes and lost reasons. It is free during our early-access pilot — set up your studio in two minutes.
